Core concepts

Requests, availability, rules, resources, capacity and outcomes: the ideas behind every TimeSlotX schedule.

Every booking in TimeSlotX goes the same way. A request comes in. TimeSlotX checks it against availability and your rules. It reserves the people and resources it needs within the capacity you allow, collects any registration and payment, and ends in an outcome.

The building blocks

Concept What it means Example
Request What someone asks for "A 30-minute conversation", "Route by region and account"
Availability When people and places are free, read from calendars, plus buffers and time zones A host's free slots on Thursday
Rules Policies that decide who and what qualifies Ownership, qualification, region
Resources People, places and equipment the booking needs Room Atlas, a display screen
Capacity How many participants fit 17 of 20 seats taken
Registration What the participant must provide Contact details, a brief, a waiver
Payment Whether and when money is collected Not required, deposit, paid
Outcome The confirmed result Meeting confirmed, best owner assigned, resources reserved

Scheduling models

A model is a ready-made shape for a common kind of booking. You can mix several in one organization.

Model Use it for Read more
1:1 meetings Personal scheduling with shared availability Meetings and routing
Team routing Matching each request to the right available person Meetings and routing
Service appointments Services with skills, duration and preparation Appointments and resources
Resource booking People, places and equipment reserved together Appointments and resources
Group sessions Classes and workshops with capacity Groups and programs
Programs Recurring cohorts run from one system Groups and programs

The scheduling lifecycle

A booking moves through states. Workflows and webhooks react to them.

  1. Confirmed. Everything the booking needs is reserved.
  2. Changed. The time, people or resources moved. Everyone affected is updated.
  3. Cancelled. The booking is released, and its capacity can go to the waitlist.
  4. Attended. Attendance is recorded for follow-up and planning.

Note

Rules stay in charge at every step. Even AI scheduling only proposes outcomes that pass your availability, policy and permissions.
