Group sessions
Publish classes and workshops with clear limits. Instructors, spaces, attendance and registrations are managed together, so a session never takes more people than it can hold.
| Example | Value |
|---|---|
| Session | AI workshop, in person |
| Instructor | Jordan Lee |
| Room | Room 204 |
| Capacity | 17 of 20 seats taken |
| Registration | Confirmed, waitlist on |
| Payment | Paid |
Programs
A program is a series of sessions that runs as one unit, such as a six-week cohort. Every participant, instructor and location stays aligned for the whole program.
| Example | Value |
|---|---|
| Program | Product leadership cohort, 6 weekly sessions |
| Dates | Sep 14 – Oct 19 |
| Instructor | Avery Morgan |
| Location | Summit Room 2B and a webinar |
| Capacity | 24 of 30 seats |
| Payment | Required |
Waitlists
When a session is full, new people join an organized queue. When a seat opens, for example after a cancellation, TimeSlotX invites the next person automatically. The invitation has an expiry window, so the seat goes to someone else if they don't respond. Operators can step in at any time.
- Session full. New registrations join the waitlist.
- A seat opens. Someone cancels or capacity is raised.
- Invitation sent. The next person on the list is invited.
- Window expires or seat taken. If they don't answer in time, the next person is invited.
Attendance
Attendance is part of the scheduling lifecycle. Record who came, and use the attended state to trigger follow-ups, certificates or the next session. Teams get a clean record for planning.
Tip
Education teams use groups, programs, waitlists and attendance together: learners get one clear journey, and operators see the whole program.
